How To Create Reservation/Cancellation Policies



Multiple cancellation or reservation policies can be set up in BackOffice. This tool allows you to have a different cancellation or reservation policy for each rate, giving you the flexibility to set custom policies for each rate. 

Important Note: This is different than the reservation policy in Settings > Policies, which is specifically for displaying a policy on your main website for prospective guests.

Reservation Policies

A reservation policy is used in the online reservation check out, when the guest accepts your "Terms and Conditions", to inform the guest of the charges that will be applied for the room reservation. Oftentimes a guarantee or the hotel policies are included in a reservation policy. Here's how you can get started:

  1. Go to Pricing > Policies
  2. Click Reservation Policies/Cancellation Policies 
  3. Click  
  4. New Rate Default: Optional: Click on the check box, to set this Reservation Policy as your default reservation policy for all of your BARs and Promotions.
  5. Title: Enter the reservation title that will be used in for Best Available Rates (BARs) and Promotions listed under Pricing > Rate Setup. 
  6. Policy Code: Enter the code that will be used to identify and applied to the Best Available Rates (BARs) or Promotions in the Rate Planner. 
  7. Content: Enter the description of the reservation policy as it should appear to the guest when they accept your "Terms and Conditions". 
  8. Click Save 

Cancellation Policies  

  1. Go to Pricing > Policies
  2. Click Cancellation Policies 
  3. Click  
  4. New Rate Default: Optional: Click on the check box, to set this Reservation Policy as your default reservation policy for all of your BARs and Promotions.
  5. Title: Enter the reservation title that will be used in for Best Available Rates (BARs) and Promotions listed under Pricing > Rate Setup. 
  6. Policy Code: Enter the code that will be used to identify and applied to the Best Available Rates (BARs) or Promotions in the Rate Planner. 
  7. Content: Enter the description of the reservation policy as it should appear to the guest when they accept your "Terms and Conditions". 
  8. Click Save 

 

Ranking

For example, if you have a guest making a booking and each day has a different reservation or cancellation policy, we will use the top ranked policy for the entire reservation. So put your strictest policies at the top and your least restrictive ones at the bottom.
