How to Create a Credit Key



Here at BookingSuite, we value and protect your privacy and your guests’ personal information. As a result, we are increasing security measures around how your guests' credit card information is stored and accessed by BackOffice users. All BackOffice users must have their own Credit Key to access credit card details.

A Credit Key is a password used to view credit card details. You will enter the password to view credit card information for each reservation under Front Desk > Reservations.

Important Note: The new PCI Compliance Policy states the following for your BookingSuite's BackOffice Security Code (CVV/CVV2):

1- Security Code will be immediately deleted after the first viewing in BackOffice.

2- If this information is not viewed, the Security Code will be deleted after 7 days of the creation of the reservation, or 3 days after check-in (whichever of these options that come first).

The remaining credit card details are stored for up to 3 days after the arrival date on the reservation. 

Each BackOffice Property only has one Credit Key Admin. A Credit Key Admin is responsible for changing and managing their own Credit Key and that of other Users. 

Here's how to create a Credit Key as Credit Key Admin:

  1. Go to Settings > Users > select Manage Credit Key 
  2. A message will ask you to create Credit Key. If this option is not available to you, then the system will provide you with the email address of the Credit Key Administrator, whom you will need to contact for access.  
  3. Select CREATE MY CREDIT KEY.
  4. For security purposes your Credit Key must meet the following guidelines:
    • 7 characters or longer 
    • A combination of letters and numbers
    • Different from your BackOffice password 
    • Different from your previous Credit Keys
  5. Click Submit.  

How to Assign Credit Card Access to other BackOffice Users:

Each user in BackOffice will need to have their own Credit Key to access credit card information. This is will ensure that your guests' information is safe and secure.

Before you can assign an employee a Credit Key in BackOffice, they will need to already have access to BackOffice or have a User role created for them.

To assign Credit Key access:

  1. Go to Settings > Users > select Manage Credit Key. 

  1. Enter your Credit Key and click Submit. 
  2. Select the Users who have access to guest credit card details. 

  1. You can also unblock Credit Key Access for other users, in the event a BackOffice user has too many incorrect password attempts to access the credit card details. 

  1. Click Save 
  2. Click  to close the window 

If the Credit Key Admin is incorrect. Please contact the buuteeq Customer Success Team at 1-800-734-1769 to update this information.

How to Create a Credit Key as a non Credit Key Admin:

  1. Go to Front Desk > Reservations
  2. Select an existing reservation
  3. Scroll to down to Reservation Details. 
  4. Next to Billing, click View Credit Card Details 
  5. A message will ask you to create Credit Key. If this option is not available to you, then the system will provide you with the email address of the Credit Key Administrator, whom you will need to contact for access.  
  6. Select CREATE MY CREDIT KEY.

      7. For security purposes your Credit Key must meet the following guidelines:

  • 7 characters or longer 
  • A combination of letters and numbers
  • Different from your BackOffice password 
  • Different from your previous CreditKeys
      8. Click Submit.

 

As a reminder, you can view credit card details for any reservation within the "Reservation Details" section of Front Desk > Reservations. After you click on the "View Credit Details" link you will be prompted to enter your credit key.
